Cancellation Policy

How cancellations and rescheduling work on InstantBook — for clients cancelling a booking, and for providers cancelling on a client.

1. Each provider sets their own cancellation terms

Every provider publishes their own cancellation policy on their booking page, and it is included in the booking confirmation email. That policy — not InstantBook — determines whether a deposit is refundable and how much notice is required. Read it before you book.

2. Cancelling as a client

  • Use the "Manage your booking" link in your confirmation email to cancel online, any time before the appointment.
  • Cancelling does not automatically refund your deposit — refunds follow the provider's stated policy and are issued by the provider through Stripe.
  • Both you and the provider receive an email confirming the cancellation.

3. Rescheduling

Where the provider allows it, you can reschedule from the same manage-booking link by picking a new available time. Your payment carries over to the new time — no re-payment needed. Both parties are notified by email.

4. Provider-initiated cancellations

If a provider cancels your booking, you'll be notified by email. Providers are expected to refund deposits for cancellations they initiate, per their own policy and applicable consumer-protection law.

5. No-shows

If you miss an appointment without cancelling, the provider may retain your deposit per their stated policy. Providers may record no-shows in their booking history.

6. Questions or problems

If you believe a provider hasn't honoured their stated policy, contact us at hello@instantbook.ca — we review reports in good faith, though refund decisions on booking payments rest with the provider (see the Refund Policy).
